synera.app (“we”, “us” and “our”) is a web-based Discord staff management platform operated in the United Kingdom. This Privacy Policy explains how we handle your personal data when you use our services. This policy supplements our Terms of Service. For definitions, eligibility, early access disclaimers and other legal provisions, refer to the Terms of Service. By using Synera, you agree to both this Privacy Policy and the Terms.

1. Early Access Context

We are currently in an early access (alpha) stage. Features, data handling and infrastructure is subject to change. Data may occassionally modified or deleted to support development, testing or security. Synera should not be relied upon as a permanent record during this phase.

2. Data We Collect

We only collect what is necessary to provide the service and its features:
  • Account data: Discord user ID and the email associated with your Discord account. We authenticate via Discord OAuth. Usernames, discriminators and avatars are never stored, however, they may be displayed through the use of Discord’s API.
  • Server/hub data: Only the IDs and configurations necessary to run the hub and staff management features are stored. We do not store the full server content.
  • Metadata and logs: Timestamps and action logs required for operation and security.
  • Support communications: Any information you voluntarily provide when contacting support.
We refrain from collecting any personally identifiable information outside of your Discord user/server ID(s). This includes user IP addresses.

3. How We Use Data

Data is used solely to:
  • Provide and maintain our services.
  • Enable authentication and server (hub) functionality.
  • Operate staff management and automation features.
  • Maintain security and prevent abuse.
  • Improve features and fix bugs.
  • Respond to support inquiries.
  • Generate anonymised statistics for internal analytics.

4. Data Retention

  • Accounts: When you delete an account, your data is retained for 7 days in order to permit account recovery. Once this period ends, your data is permanently deleted. Only anonymised statistics will be retained.
  • Servers/hubs: Data is automatically deleted 7 days after the bot is removed from a server.
We may retain indentifiable information for a reasonable amount of time after data deletion providing it is being stored for the sole purpose of compliance or protection. This could include saving your Discord User ID on our blacklist.

5. Data Sharing

We do not sell or rent personal data. We may share your data with the following companies:
  • Discord, in order to provide our services
  • Infrastructure providers (such as Cloudflare) for hosting, security and/or storage.
All providers comply with applicable data protection laws.

6. Data Security

Reasonable technical and organisational measures are in place to protect your data.
We make every reasonable effort to protect your data, however, no system is completely secure.

7. Children’s Privacy

We do not intend for users under the minimum age required by Discord to use our services. We do not knowingly collect data from children.

8. Changes to This Policy

We may update this Privacy Policy at any time to reflect changes to our services or legal requirements. Updates take effect when published to this site. Continued use of the Service after changes indicates your acceptance.
